Frequently asked questions

How do I refer a client?

Complete the form on this page with your name, your firm and a description of the client, then say what the client needs, roughly what it spends on R&D and whether HMRC has been in touch. Confirm the client is happy to be contacted. It takes about two minutes. You can also email us. We reply the same working day.

What happens after I submit a referral?

We read it the same working day and reply to you. We agree with you how we will contact the client, who is copied in and how reporting will run, then arrange a scoping call. We confirm the arrangement, including how any referral fee is handled, in writing before work begins. Nothing starts without your agreement.

Do we need the client's consent first?

Yes, please. The form asks you to confirm that the client is happy to be contacted, and we will not approach the client without that. Telling the client in advance also helps the first call go well. We can give you a few lines to explain who we are and why you suggested us.

Are referral fees paid, and who sees them?

We pay referral fees to accountants who introduce clients, and we always disclose them to the client. We confirm the arrangement in writing with you, and we state it to the client in the paperwork. We do not do referral arrangements that are kept from the client. We will explain the terms when we reply.

Will you copy us into all correspondence?

Usually, if you and the client want that. We can update the client and copy you, so you see what is happening. If you would rather receive short summaries, or be copied on key emails only, tell us and we will do that. We confirm the reporting line in writing before work starts so there is no confusion.

How quickly will the client hear from us after we refer?

We reply to you the same working day. The client hears from us once you have confirmed how you want us to approach them. If the referral is urgent, because of an HMRC reply date, say so on the form so that we deal with it first. Sending the letter with the referral saves time.

Can we refer a client with an open enquiry?

Yes. Choose the HMRC enquiry option on the form, use the deadline field to say HMRC has given a reply date, and send us the letter. We triage the same working day. We also defend R&D enquiries on claims prepared by others, so it does not matter who prepared the claim.

Can we refer a client for a review only?

Yes. A second-opinion review before a claim is filed is a sensible check, and we do it where another firm, or your own team, has prepared the claim. We review the projects, the costs and the evidence and tell you plainly where the claim is strong and where it needs work. The claim remains yours.

What if the client decides not to proceed?

Then we stop. A scoping call carries no obligation, and a client can say no. We will tell you the outcome, so that you can carry on advising the client as you see fit. We confirm how any referral fee works in writing at the start, so the position is clear before anyone commits.

Can we refer group companies together?

Yes. Tell us the structure on the form. Groups raise points that single companies do not, such as which company should claim, how connected companies affect the intensity test and how group payments for surrendered credits work. We look at the group as a whole before we advise on how to claim.

Do you accept referrals from outside the UK?

We advise on UK R&D tax relief for companies within UK Corporation Tax. A referral from an accountant based elsewhere is fine if the client is a UK company. Tell us where the work is done as well, because the overseas restriction for contracted-out R&D and externally provided workers can affect which costs qualify.

What information should the referral include?

A description of the client (the company name is optional), what it needs, a rough sense of annual R&D spend, whether HMRC has been in touch and any deadline. The details box is the place for the year end, who prepared earlier claims, or whether you want white-label. Please do not send accounts on the form. We ask for records later.

Can we refer a client anonymously first?

Yes. The client field on the form is optional, and a description is fine, so you can refer without naming the company. You can also book a call and describe the situation. We will tell you honestly whether it looks like R&D and how we would approach it. There is no obligation at that stage.

How do you handle the data we send?

We use it only to respond to your referral and to carry out the work if the client proceeds. Our privacy policy sets out how we handle personal data. We carry out our own anti-money laundering checks on the client before we start, and we tell you in advance what we will need from them.

Can we sign up for your R&D briefing?

Yes. The sign-up box beside the form gives you short, practical R&D points to share with your clients, which are easy to forward. If your team would like a talk-through of what qualifies, which costs count and what HMRC is checking, ask when you refer or book a call, and we will discuss what would suit your practice.
